Hours bands panel

Overview

The Hours bands panel is accessed from the Edit button or by clicking on the day of your Work record in your Clock card. The panel displays details of all periods of work and absence for the day with each in a separate row. The number of Hours bands in the day is displayed in the Hours bands panel header. Click the header to expand the panel. For example:




The information displayed includes:


  • Start and End time — of the Hours band. These may correspond to the Clockings you made during the day

  • Hours code — typically a TMS Absence or Worked hours code and description for the Hours band. . These are shown in a colour-coded tag.
    Note: depending on the features which have been enabled for you, you may see other TMS codes for e.g. breaks or Premiums

  • Hours value — the duration of the period of work or absence

  • TAS — any TAS category values for Clockings you made at the start and/or end of the period of work or absence. These are shown in colour-coded tags. For example,  Department: Office


The Hours bands are ordered according to their start time.


If you are allowed to edit your Hours bands, there are three actions available from this panel: Add hours, Modify and Delete.


Note: Any changes you make to Hours bands will not be reflected in the Clockings, Worked or Absence hours panels. You need to update these separately if required.


Add hours band

To add an Hours band to a Work record, expand the Hours band panel in the relevant Work record and click the Add hours button. The Add hours band page opens. For example:






The date of the Work record are displayed at the top of the page. This cannot be changed.


Note: You may not be allowed to edit all of the fields shown in the previous example. Fields include:


  • Start and End time — the start and end times for the Hours band, the default is the start of the day
  • Hours value — this is calculated from the Start and End times you enter
  • Hours type — the type of hours the Hours band represents. Typically this is worked or absence hours but the drop-down list may include other options such as breaks
  • Hours code — you must select an Hours code. The list contains only TMS Absence or Worked hours codes depending on the Hours type you select
  • TAS categories — optional fields to describe the Hours band. There are two TAS categories in the previous example: drop-down lists called 'Department' and 'Location', each containing a list of codes or values to select from


Select or enter the relevant details then click  Submit  and return to the Edit work record page, or click Cancel to discard your changes. The new Hours band is added to the Hours band panel and highlighted with a  Draft  tag.


Note: if you add an Hours band with times that overlap with exiting hours bands, the existing bands are adjusted.


To add the new Hours band, click Submit in the left-hand navigation pane or click Cancel to discard the addition and return to your Clock card.


Note: Any change you make to your Hours bands may require approval from your Supervisor and so will automatically generate a Request. Work records and any fields with requested data changes are highlighted with a Request  tag.


Delete hours band

To delete an existing Hours band in a Work record, expand the Hours bands panel in the relevant Work record and click on the Start or End time, Hours code, Hours value or TAS of the Clocking you wish to delete. A Modify Clocking page opens showing the existing values for the row. Click Delete at the bottom of the page. A pop-up window opens asking if you want to delete the Hours band. For example:




Click  Delete  to proceed and return to the Edit work record page with the Hours band row removed. Click Cancel to abandon the deletion.


To apply the changes, click Submit in the left-hand navigation pane or click Cancel to discard the modification and return to your Clock card.


Note: Any change you make to your Hours band may require approval from your Supervisor and so will automatically generate a Request. Fields with requested data changes are highlighted with a  Request  tag.


Modify hours band

To modify an existing Hours band in a Work record, expand the Hours bands panel in the relevant Work record and click on the Start or End time, Hours code, Hours value or TAS of the Hour band you wish to modify. A Modify hours band page opens showing the existing values for the row. For example:




You may be able to change the Start time, End time, Hours type, Hours code and any TAS category values, as in the previous example. Select or enter the relevant details then click  Submit  and return to the Edit work record page, or click Cancel to discard your changes. Any changes you make are highlighted with a  Draft  tag.


To apply the changes, click Submit in the left-hand navigation pane or click Cancel to discard the change and return to the Edit work record page.
