Absence hours panel

Overview

The Absence hours panel is accessed from the Edit button or by clicking on the day of your Work record in your Clock card. The total number of absence hours for the day is displayed in the Absence hours panel header. Click the header to expand the panel.


The panel displays a breakdown of any absence recorded on the day with individual coloured Absence codes or categories. Each period of absence is displayed in a separate row. The following example shows one period of absence in the day:




The information displayed includes:


  • Absence code and description, for example  L: Lateness  
  • The length absence in hours, example '00:15'
  • Any TAS values associated with the Worked hours. For example,  Department: Office  which means the absence relates to the 'Office department'.


There are four actions available from this panel for individual absences: Add hours, Modify, Delete and Move to worked.


There are also two related actions in the left-hand pane which affect all absences in the Work record: Convert absence into worked hours and Consolidate into a single absence code.



Note: Any changes you make to your Absence hours will not be reflected in the Worked hours, Clockings or Hours bands panels. You need to update these separately if required.

Add Absence hours

To add Absence hours to a Work record, expand the Absence hours panel in the relevant Work record and click the Add hours button. The Add absence hours page opens. For example:







You must select an Hours code from the drop-down list of available Absence codes and also enter the length of time in the Hours value field. You may also select TAS category values to describe the absence. There is one TAS category in the previous example: a drop-down list called 'Department' containing a list of codes or values to select from.


Select or enter the relevant details then click  Submit  and return to the Edit work record page, or click Cancel to discard your changes. Any changes you make are highlighted with a  Draft  tag. For example:




Note: you may see an additional panel the bottom of the Add absence hours page to record more information for the absence. For example:




To add the new Absence hours, click Submit in the left-hand navigation pane or click Cancel to discard the addition and return to your Clock card.

Note: Any change you make to your Absence hours may require approval from your Supervisor and so will automatically generate a Request. Work records and any fields with requested data changes are highlighted with a  Request  tag.

Modify Absence hours

To modify an existing period of Absence hours in a Work record, expand the Worked hours panel in the relevant Work record and click on the Hours code, Hours value or TAS of the Absence hours you wish to modify. A Modify absence hours page opens showing the existing values for the row. For example:




You can change the Hours code, Hours value and any TAS category values. Select or enter the relevant details then click  Submit  and return to the Edit work record page, or click Cancel to discard your changes. Any changes you make are highlighted with a  Draft  tag.


Note: you can also modify any details in an additional panel which may be displayed at the bottom of the page.


To apply the changes, click Submit in the left-hand navigation pane or click Cancel to discard the modification and return to your Clock card.
