Messages received

The Messages received page is only available to Supervisors with Maintain messaging service (Web only) enabled in their TMS User profile.


The Messages received page allows a Supervisor to maintain message tags and to manually process or discard messages received by the system that are invalid or unprocessed.


To display a list of invalid or unprocessed messages, select Messages received from the System menu in the drop-down Header pane. It can also be accessed from the Menu and Shortcuts widgets which may be displayed on your Supervisor dashboard. A page similar to the following will open:




If messages are being processed automatically and Employees are getting the message structure correct then this display will be empty. Otherwise you will see a list of messages that were invalid, discarded or yet to be processed over a period of a week. In the example above, invalid messages occurred due to user error, with the Employees entering the wrong ID or forgetting to add 'IN' at the end of the message. An unprocessed message can be seen in the example above, with a TmsClocking yet to be processed to clock-in the Employee.


Clicking on the information under the Received or Message column will open the Message details page of the message. On this page a Supervisor is able to view additional information or change the Status of the message.


There are a number of actions available in the left-hand pane. The Configure tag action in the left-hand pane will open the Tags page which allows a Supervisor to maintain the tags that can be attached to messages.


Clicking Update Messages will immediately check all message sources for any new messages, and display them on the page ready for processing.


Note: the Update messages action will only be available if the preference Allow manual updates is enabled in System preferences > Messaging.



If there are valid messages waiting for processing, clicking Process all messages will process every message regardless of date range. Alternatively, individual messages can be processed by clicking  Process  under the Action column or by selecting a messages check-box and clicking Process selected messages. The message(s) will then be processed into the TMS system, e.g. the valid message above would be converted into a TMS Clocking. The message will remain on the page once processed but the Message Status will change to “Processed”.


A Supervisor can discard the message by using either the  Discard  button under the Action column or by selecting the check-boxes of the relevant messages and click 'Discard selected messages' from the left-hand pane. The message will remain on the page once discarded but the Message Status will change to “Discarded”. The unprocessed message from the above example will not be converted into a clocking if discarded.


Note: once a message is discarded, you will be unable to change the Message Status or process the message.


Note: invalid messages cannot be processed. When an invalid message is processed, a warning message is displayed at the top of the page and an additional column is available with an error message tool tip for further information. For example:





Additional error messages may occur when trying to process a valid message as well. Similar to the previous example, the tool tip will display a message with information on why the error occurred. An example scenario would be an Employee trying to book an absence on a day that has a Work record and has been processed. For example:
