Employee Rejection or Badges Not Working


Introduction


This document explains how to troubleshoot badge(s) which either rejects (red light) or does not read when presented at a Mitrefinch Clocking Terminal or Access Control Reader.   If the badge is rejecting then refer to section 1 or if does not read then refer to section 2.  


Should you require any assistance then contact Mitrefinch Support either by emailing support@mitrefinch.co.uk.  If the badges were encoded/created by Mitrefinch then if possible please provide the order number (shown on the delivery sheet), badge range and date they were purchased.


Badge Rejected – TMS/Access Control Checklist


The checklist below should be performed if a badge rejects when presented at Clocking Terminal or Access Control Reader.  Please note that depending upon your user rights, you may need to use the MASTER login to perform them:


  • Correct badge number & start/issue date - Ensure the badge number allocated to the employee is correct within the Employee Details or Visitor/Temporary badge screen. Also ensure that the employee Start Date or issued date/expiry date within or Visitor/Temporary badge screen is valid.   


















If the badge number is incorrect within the TMS Employee Details, then click on ‘Change/Add badge’ located next to the Badge Ref. 



Access Group - Ensure that the correct Access Groups is allocated against the employee i.e. includes the unit where the badge rejects.


If you need to change the Access Group within the Employee Details then select the Update or Edit button then select the ‘Change’ button within the Access Group section.


  • Terminal/Access Unit Communicating – Load the Site Monitor via the TMS or Access Control Launch menu and ensure the Terminal or Access Control unit is communicating i.e. green.   If the unit (as per the example below) or poller is red, then the unit is not communicating and you will need to contact Mitrefinch Support for further assistance.




  • Download current employee – If the unit is communicating then exit from the Site Monitor, then within TMS or Access Control, select the Employee allocated to the badge and click on the menu Employee > Download current employee.  When prompted to confirm the download select ‘Yes’.




Once the above checklist is completed, re-test the badge again.  If the badge is still not accepted then contact Mitrefinch for assistance and provide details of the checklist performed. 


Badge not read or number unknown – Diagnostic Mode


If the badge number is not displayed when rejected or is not read then below is a method to enable diagnostic mode within a clocking terminal to check the badge(s) number/format.  

 

  1. First reboot the clock, by pressing the IN (up arrow), OUT (down arrow) and number 2 keys simultaneously and holding them.





  1. After a few seconds you will notice the lights under the number keys go off, this means the terminal is rebooting so you can let go of the keys.  As it's booting back up it will bring up a message on screen that says something like "MF7.04D by William Ellis".  Press the IN key when this message comes up, when it finishes booting it should prompt you for a special PIN and enter 1951.


  1. Once you've entered the above PIN, you should be presented with a screen that says Setup.  Press the Mitrefinch key (the round one between the In and Out keys), then press the In key.  This should change the prompt on the screen from Setup to Diagnostic.  Press the Mitrefinch key again, then press the IN key again to accept this.  This should change the prompt on the screen to Diagnostic Mode and then either a Yes or No below this.  If it's yes, accept this by pressing the IN key again.  If it's no, change it to yes by pressing the Mitrefinch key, pressing In to change from no to yes, press the Mitrefinch key again, and then press the IN key again to accept.


  1. You should now be in diagnostic mode, with a numbered menu on the screen.  Go down to reader (using the Out key) and press the Mitrefinch key to go into this menu option.  You should now be prompted with a further menu, of Normal, Raw or Change.  Choose Normal and press the Mitrefinch key, this should then prompt you to swipe/present your badge.  Make a note of the number it returns. 


  1. You can then exit diagnostic mode by pressing the 0 key, pressing the 0 key again, and then pressing the 1 key to confirm exiting.  The clock will then reboot normally.

 

Once completed contact Mitrefinch Support with the number shown, badge number allocated to the employee.  If encoded by Mitrefinch then also provide the order number (if known), requested badge range and date ordered.
